Information we collect

We may collect personal information that you provide directly to us when using the website, submitting a form, making a booking, contacting us or receiving a service.

This may include your name, email address, telephone number, billing or service address, yard location, booking details and payment-related information.

Depending on the service booked, we may also collect information such as rider age, parent or guardian details, riding experience, coaching goals, horse details, yard information, holiday-care instructions, emergency contacts, veterinary practice details, competition information and other information that you choose to provide where it is relevant to the service.

Where a rider is under 18, information relating to a parent or guardian may also be collected where necessary for booking, communication and safeguarding purposes.

We may also receive technical information when you use our website, such as your IP address, browser or device information and information collected through cookies or similar technologies.

How we use your information
We use personal information to respond to enquiries, manage bookings, provide coaching and horse-care services, communicate with clients, process payments, arrange service locations, manage our diary, provide customer support and maintain appropriate business records.

Information supplied through individual booking forms is used to understand the requirements of the service and to help EH Equestrian Coaching provide an appropriate, safe and properly prepared service.

We may also use information where reasonably necessary to manage complaints, resolve disputes, protect the safety and welfare of clients and horses, prevent misuse of our services, comply with legal requirements and maintain appropriate insurance and business records.

Our lawful bases for using personal information
We rely on different lawful bases depending on why information is being used.

Where information is required to respond to a booking request, arrange a service or provide a service you have purchased, processing will normally be necessary to take steps before entering into a contract or to perform our contract with you.

We may process information where necessary to comply with legal obligations, including accounting, tax and other regulatory requirements.

We may also rely on our legitimate interests where necessary to operate and protect EH Equestrian Coaching responsibly, including administration, customer service, record keeping, safeguarding, security and handling complaints, provided those interests are not overridden by your rights and interests.

Where consent is required, for example for certain marketing communications, we will ask for it separately. You may withdraw consent at any time.

UK data protection law requires businesses to identify an appropriate lawful basis before processing personal information.

Payments
Payments made through the EH Equestrian Coaching website are processed through the payment services available through our website and checkout provider.

Payment providers may process information necessary to complete your transaction in accordance with their own privacy policies and legal obligations.

EH Equestrian Coaching uses payment information only as necessary to manage bookings, payments, refunds and financial records.

Who we may share information with
We do not sell your personal information.

Personal information may be shared with trusted service providers where necessary to operate the business. This may include our website and booking provider, payment providers, email or communications providers, accounting or professional advisers and other technology providers used to deliver our services.

Information may also be disclosed where required by law, where necessary to deal with an emergency, or where reasonably necessary in connection with an insurance claim, legal dispute or safeguarding matter.

Service providers are only given access to information where it is necessary for the relevant service.

International data transfers
Some technology providers used by EH Equestrian Coaching may process or store information outside the United Kingdom.

Where personal information is transferred internationally, we will rely on appropriate safeguards or other lawful transfer mechanisms required by UK data protection law.

How long we keep information
Personal information is kept only for as long as reasonably necessary for the purpose for which it was collected and to meet applicable legal, tax, accounting, insurance or regulatory requirements.

Financial and business records may need to be retained for the periods required by HM Revenue & Customs. For self-employed businesses, HMRC generally requires relevant records to be kept for at least five years after the 31 January submission deadline for the relevant tax year.

Information relating to complaints, incidents, safeguarding matters, insurance matters or legal disputes may be retained for longer where reasonably necessary.

Information that is no longer required will be deleted or securely disposed of.

Children and young riders
EH Equestrian Coaching provides services that may involve children and young riders.

Where appropriate, we may collect a rider’s age and the details of a parent or guardian so that bookings, communications and safeguarding arrangements can be managed appropriately.

We aim to explain how personal information is used in clear and accessible language. The ICO specifically states that privacy information should be understandable to children where their information is being processed.

  • ask for access to the personal information we hold about you;

  • ask us to correct inaccurate or incomplete information;

  • ask us to delete your information in certain circumstances;
